1. Who we are

Kognida is the trading name of Kartik Khuley, a sole trader providing online Physics and Maths tuition in the United Kingdom.

2. Personal data we collect

  • Identity & contact – parent / student name, email address, phone / WhatsApp number

  • Student academic information – predicted and target grades, diagnostic results, lesson   notes

  • Video lesson recordings – only if you give explicit consent

  • Marketing & analytics – ad-click data, lead-form answers, website cookies / Meta Pixel data

  • Students Under 18 – we collect their data only with parent or guardian involvement

3. Why we use your data and how long we keep it

  • Deliver lessons, track progress, issue invoices
    • Lawful basis: Contract (UK GDPR Art 6 (1)(b))
    • Retention: six years after the final lesson

  • Send lesson reminders and feedback
    • Lawful basis: Legitimate interests (Art 6 (1)(f))
    • Retention: until tuition ends

    •Our legitimate interest is ensuring students attend on time and parents receive timely feedback.

  • Record and share lesson videos
    • Lawful basis: Consent (UK GDPR Art 6 (1)(a))  

• Retention: Operational copy — recordings are moved to Trash within 30 days of the final session; Google automatically purges them after a further 30 days.

  • Marketing new services or offers
    • Lawful basis: Consent (Art 6 (1)(a))
    • Retention: until you withdraw consent

  • Meet legal obligations (e.g. HMRC)
    • Lawful basis: Legal obligation (Art 6 (1)(c))
    • Retention: six years

  • 4. Who we share your data with

  • Stripe / PayPal – payment processing

  • Starling Bank – holds our business current account and therefore receives payment-reference information

  • Google Workspace (Gmail, Drive, Meet) – cloud email, document storage, lesson recordings

  • Meta Platforms – if you submit a Meta lead form (data stays within their system)

    All suppliers are UK/EU-based or protected by UK-approved safeguards and have signed data-processing agreements.

5. International transfers

Where providers are US-based (e.g. Stripe) we rely on the UK-US Data Bridge or Standard Contractual Clauses to protect your information.

6. Your rights

You may access, correct, erase, restrict or transfer your data, object to certain uses, or withdraw consent at any time.
Email support@kognida.co.uk and we will respond within one month.

If you choose not to provide essential contact or academic data we may be unable to deliver lessons or fulfil our contract with you.

7. How we protect your data

• AES-256-encrypted cloud storage
• Multi-factor authentication on all accounts
• Data is stored in Google Workspace, which is encrypted at rest and automatically replicated       for durability.
• Access limited to the sole trader running Kognida

Automated decision-making: We do not use automated decision-making or profiling.

9. Complaints

Please contact us first if you have concerns. You may also complain to the UK Information Commissioner’s Office (ICO): https://ico.org.uk or 0303 123 1113.

10. ICO registration

We are in the process of registering with the ICO. Our registration number will be added here as soon as it is issued.

11. Changes to this notice

We will update this page if we change how we process personal data and will notify active clients where appropriate.
